Mohican Swimming Pool Association Membership Process
Our online directory is built via a shortcode on a page [payments].  Currently members can opt out in their accounts if they don’t want their info to be published:
2019 Membership Payments:
Full Member Active:
- Assessment – $200
- Base – $375

Wait List Â
- All newcomers to the waitlist arrive there via the form that we have on the website: https://mohicanpool.org/membership/waitlist/
- They fill that out, pay their $50 online and are placed in the group: Waitlist Unverified

Active Full Membership:
All active full offers go out in January or February and are due by Mar 1.
Our current full membership is capped at 450 full members.
- All full members are offered the choice to become one of the following three statuses. Â The products used to create these memberships are:
- Assessment – Required
- Active Full Base Membership Fee – Show (becomes required on click)
- Active Full Membership Fee – At least one adult is required
- Inactive Membership Fee – Show
- Senior Citizen Privilege Fee – Show
- Guest Credits -Show
- Full Member Active- Full voting rights. Pay:
- Assessment – Required
- Full Member Active Base Membership Fee – Show (becomes required on click)
- Full Member Active Membership Fee – At least one adult is required
- And any other family members you want to add – Show
- Guest Credits -Show
- Added to group: Full Member Active
- Full Member Inactive – Remain a member but have no use of the pool. Pay:
- Assessment – Required
- Full Member Inactive Base Membership Fee – Show
- Added to group: Full Member Inactive
- Full Member Senior Citizen Privilege – as the member meets the requirements they can use the pool as a senior. Pay:

- *Use guest credits for any visits they make to the pool, except the first hour of the pool’s opening.

Pre-Pay Discount:
Membership secretary should communicate separately with this group before the season opens to see who might be changing their membership status.

- There is a group of members who pre paid their memberships by $4000 in 2014 to help build the new pool. Â This will be in place until 2024:

- Their invoice will tally their products and the result will be a zero balance.
- The membership secretary will add $200 of guest fees in their account.

- When this type of membership is sold, the treasurer has to check how many years are remaining and pay back the member based on that.
Sell a Full Membership:
We need to be notified of all sales prior to Mar 1.
We use a form to collect the names of those members who plan to sell their memberships. Â
- The member notifies membership and fills out a form:

- We only process sales to the new members outside the regular season. Â We ask that members notify us before Mar 1.
- Their account will be closed once the sale process goes through. Â Those in process of a sale with no payment to the pool are put in the group: Sales in Progress
- They have no access to the pool.
- Add a note to their account:  Transfer of Full Membership – Sale and use the category “Transfer of Full Membership”
- Add a note to their account:  Refund of Full Membership and use the category “Refund of Full Membership”
- Form routes to membership and treasurer. Â Treasurer can issue a refund based on the form. Membership Secretary can process the invoice and closure
- Add an offline transaction for the product Membership Refund. Â Use check as the means of payment.
Transfer a Membership with a Sale:
In Season:

- The form routes to membership and the treasurer
- Create a new account for the new member
- Place them in the group: Home Sale Transfer – In Season
- The products used to create this group are:
- Home Sale Transfer Fee – required $1200
- Late Summer Membership $400
- They are then dropped into the group: Â Full Member Active
- Add a note to the account to show that the transfer was made to the new member and link that member’s name in the note
- NOTE: No payment is made back to the selling member
NOTE: Because these are Active Full Members, they may increase our 400 max during the season. Â Once the next sales come into play, the numbers can be aligned correctly.
Out of Season:

- That form routes to membership and the treasurer.
- Create a new account for the new member
- Place them in the group: Home Sale Transfer – Out of Season
- The products used to create this group are:
- Home Sale Transfer Fee – required $1200
- Assessment – required $200
- Full Member Active Membership Base Fee – show $375
- Full Member Active Member Fee – At least one adult at $125 is required
- Any other family members – show
- Guest Credits – show
- They are then dropped into the group: Â Full Member Active
- Add a note to the account to show that the transfer was made to the new member and link that member’s name in the note
- NOTE: No payment is made back to the selling member
Purchase a New Membership:
Membership offers go out in January and February.
- Once there is a slot open on the membership list, the membership secretary extends an offer and places the member in the group: Â Offered Active Full Membership
- The products used to create this group are:
- Offered New Membership Fee – required $3000
- Assessment – required
- Active Full Membership Base Fee – required
- Active Full Member Fee – $125 (one adult) required
- Any other family members as they want to add
- Upon payment, they will be placed into the group: Â Full Member Active
- Add a note to their account with the title Transferred Full Membership – Purchased and use the category Transferred Full Membership
Temporary Full Summer Members:
Temporary offers go out in February, March, and  April of each year.
- Membership looks at the inbounds list and starts to make offers:
- They are placed in the group: Â Offered Waitlist Temporary
- They can choose Waitlist Temporary Full Summer
- The products used to create this list are:
- Summer Member Base Membership Fee – required
- Summer Member Membership Fee – at least one $125 adult
- Any other Family members as they want
- Upon payment, they will be placed into the group: Waitlist Temporary Full Summer
- Or they can choose Waitlist Temporary Late Summer Only
- The products used to create this list are:
- Late Summer Membership Fee – required ($400 for entire family)
- Upon payment, they will be placed into the group: Waitlist Temporary Late Summer Only
- Or they can choose to decline the membership offer
- The product used to create this list is the Decline Temporary Summer Membership
- If it is chosen, the member clicks through to submit and an order is created with a zero balance.
- They are placed into the group: Â Waitlist Declined
- The products used to create this list are:
- If they say they no longer wish to be on the list they are placed in the group: Closed
Late Summer Only Membership
These offers continue to go out until the start of the late summer season or we have filled the number of slots available.
Once those slots are filled, membership makes late summer only offers to any out of bounds members and anyone left on the list who was not offered a slot in the first round.

- Upon payment, they will be placed into the group: Waitlist Temporary Late Summer Only
Guest Credits:
All membership types who have active access to the pool are able to purchase guest credits.
Late Fees:
- A $100 late fee is added to an account that is in unpaid status as of April 1. Â If the account remains unpaid as of April 15, the member will be notified and the account closed and sold.
- If an active member, they will be notified of non payment and that their account will be sold.
- If temporary, they will be notified and their account closed. Â They will not be placed back on the waitlist
- If guest credits are in the negative numbers, this will also count as unpaid and will accrue late fees and the risk of closure.
Exceptions:
Youngs  & Caddells – They are out of bounds but remain on our waitlist
